Key Accountabilities are: Assist the procurement process including providing input to SOWs, development of technical evaluation criteria, assistance with evaluation of vendor proposals and guidance during contract formulation, drafting and negotiation. Establish relationship with key internal and external stakeholders and disseminate information relating to Facilities Management (FM) operation to senior management. Assess, track and identify key needs for FM operations to establish for long term contracts including specification, acquisition, maintenance, and support requirements. Analyze internal processes, recommend and implement procedural or policy changes to improve Facilities management operations. Manage department functions including hiring/ termination recommendations, interviewing, evaluating, disciplinary actions, planning/ scheduling/ coordinating activities, staff development, work improvement plans, advising, consulting, etc. for the purpose of maintaining adequate staffing, and enhancing productivity of personnel. Manage space/ capacity planning which includes documenting and assessing all requests for space using the Company guidelines attempting to have requests resolved, and if possible, directing recommendations for appropriate approval. Enhance organizational decision making with regards to Facilities operations by establishing procedures to ensure quality information, documentation, knowledge and analysis related to facilities issues are effectively retained, organized, accessible and disseminated. Manage the project process including: estimating costs, obtaining capital project request approvals, managing projects within established budgets, and implementing projects within timelines. To be successful in this role you will hold a Advanced university degree (Masters or equivalent) in Business Administration, Engineering or related fields with 5 - 7 years of relevant experience in a similar position and capacity in an FM environment. Knowledge of principles and practices of Facilities Management, organizational planning and administration, capital project management and principled and practices of contract management. Excellent project management skills with ability to delivery projects within tight timelines. Resolve customer service issues with tact and diplomacy and ability to work with a broad and diverse internal and external customer base. In depth knowledge of property management principles, procedures and standards, as applied to company facilities. Excellent ability to analyze and interpret the needs of staff customers and offer appropriate solutions within the ambit of laid down guidelines. Ability to communicate effectively, both orally and writing. Strong interpersonal and communication skill and the ability to work effectively with a wide range of communities / nationalities. Detail oriented with ability to deliver outputs within limited time schedules.
